VoIP Phone Systems Increase Austin Business Productivity

The sphere of ever-advancing communication technology is changing the way the world does business. In Austin, one of Forbes.com’s top business cities in the nation, communication is the heart-beat of every operation. Naturally, communication has everlastingly been a necessity for businesses, from pigeon-carriers, to the telephone, to the advent of the internet, technology has continued to extend the reach, and swiftness of communication. Today, with world-wide business transactions happening daily, the need for long distance communication has become just as vital and simple as close-contact with reliable, far-reaching communications. The newest and hottest addition to businesses communication is internet-based VoIP (Voice over Internet Protocol).

Recent advances in VoIP technology has made it the solution of choice for voice and data service because of its low cost and reliability. VoIP is an enabler system that makes it possible to communicate in ways not earlier offered. It makes it possible to connect to the company telephone system from anywhere with a suitable broadband connection. This allows the company to quickly set up branch offices with minimum hardware, link many locations with lower communication and transport cost, utilize existing data links between offices for voice communication. The system also helps employees by allowing them to work from home and connecting simpler while roving. With these improvements, productivity will increase while frustration and communicative head-aches handbook away.

Today, more and more businesses are using VoIP service to cater to voice and data needs. Many businesses are also using their internal local and wide-area network infrastructure to replace traditional telephone networks. VoIP is predicted to overtake traditional telephone services for voice transmission within the next five years. This migration to a single network for voice and data transmission is called “convergence”, and it’s revolutionizing the world of communication by slashing expenditure and empowering users.

VoIP phone systems in Austin are helping revolutionize the concept of efficiency within the thriving city. VoIP systems offer the convenience of running both voice and data communications over a single network, which will result in significant savings in infrastructure expenditure. VoIP systems will also reduce monthly phone-network expenditure as VoIP subscriptions are substantially lower than copper-wire telephone systems. VoIP is bringing a new age of productivity by providing a simple, intuitive user boundary, that allows users to configure changes to their liking. Features such as dual-mode cellphones allow users to continue conversations as they go from an outside cell service to an internal Wi-Fi network.

This bundling means employees no longer have to a desktop phone or carry a cellphone. This is also a fantastic way for companies to reduce their telecommunications equipment expenditure. Maintenance also becomes simpler, because there are fewer devices to oversee. If you’re in the Austin area, and know the importance of inclusion in the technological-communication wave, then you need a VoIP provider that’s reliable and dedicated.

Telco Data sells, services, and installs new and used phone systems in Austin and the surrounding areas. They service systems including Avaya, Lucent, NEC, Nortel, Toshiba, Panasonic, Vodavi, with NEC Ux5000 as their primary product. About VoIP Phone Systems

There are many companies producing VoIP Phone systems for the use of businesses. They are extremely helpful in reducing the cost of communications to the company for both internal and external calling. Installing VoIP phone systems not only reduces operational expenditure, but also offers flexibility to the user, making it a top choice in today’s markets.

What is VoIP Phone Systems?

VoIP phone systems are persons systems that are connected to the Internet to offer telephone voice, fax and/or voice messaging applications to the user. VoIP is connected to the Internet and not the broadcast switched telephone network (PSTN).

How does it work?

The first step in installing the VoIP system is that the analogue signal is converted into a digital format in which the signal is compressed or translated into an Internet Protocol (IP) packet, ready to be transmitted over the Internet. At the receiving end, this process is reversed. The system uses session control protocols to manage the tear down and set up of calls.

It also employs audio codecs, which encode the speech, thus allowing it to be transmitted over an IP network as digital audio via an audio stream. Codec is the term used for “coder-decoder”. It is a hardware used to compress/decompress the digital audio data as per the audio file format or the streaming audio format. The use of codecs varies from purpose to purpose and often a range of innumerable codecs are used at a time. Some implementations are based on the narrowband and compressed speech, whereas others are supported by high fidelity stereo codecs.

Using it in your Business

VoIP phone systems can be tailored to suite businesses of all sizes and can drastically reduce communication expenditure as demonstrated by the enormous amount of broadcast switching to VoIP systems. Conventional phone services are available in VoIP systems too, that allow the phone companies to provide you with inbound and outbound calling with Direct Inbound Dialling. Most companies offer to make unlimited calls to the US and selected countries in Europe, Asia and Canada for a monthly fee, which works out to be nearly free for any company.

VoIP systems are used in these applications as well:

• Skype – This is software that allows users to make calls over the Internet.

• SIP/RTP, which stands for Session Initiation Protocol/Real Time Protocol.

• IMS-IP Multimedia Systems.

• H.323 – This is another system used in IP Protocols, like the ones used in video conferencing.

Connection

There are three ways of connecting to the VoIP service providers:

• ATA – That stands for the Analogue Telephone Adapter, which can be connected to the existing telephone jack and the IP network. This is affixed to one location service and is generally offered by Broadband Internet Service providers.

• Dedicated VoIP Phones – These are phones that allow you to make VoIP calls without using the computer. They are connected to the IP network through Wi-Fi or Ethernet.

• Softphone – This is also known as the Internet Phone or the Digital Phone. This software can be installed on your computer to allow you to make VoIP calls without the dedicated hardware. Softphones are very advantageous, as they have a dedicated number which can be relocated to any location or country.

Advantages of IP Phone Systems for Businesses

Today there are several companies that offer you end-to-end solutions for your communication queries. They not only set up the whole system, but also provide you with the instruments and the maintenance service thereon. If you are looking to reduce your calling bills, a Phone System is what you require, as with monthly plans offered by some companies, the calling could be potentially free.

There are many such advantages to installing an IP Phone System in your company. Let’s discuss a few of them.

Dialling

With IP telephone systems, you can easily make calls without worrying about extensions if you want to call any the locations included in your network or the general broadcast. Using IP telephones work out to be much cheaper and simpler than your regular PSTN services. If you have branches anywhere in the world, using VoIP systems can reduce the cost of calling between long distances and can keep all the locations tied together in the network.

Expenditure

Using VOIP Phone systems works out to be much cheaper than your regular telephone network calling. It makes lower expenditure and greater functionality advantages from the carrier services. If you are going to be using the voice calling facility more through your IP phone, service providers even offer you Quality of Service to give you priority of voice over data.

Internal Networking

If you have branches at different locations, they can be all joined by the “quasi confidential” network of the carrier. Also, calling these locations in your network becomes very low-cost and simple. Using the IP Phone System to call your office is done by one service provider, so that the voice traffic between offices remains on the confidential network of the carrier.

Data

You can even carry your voice traffic through the same channel as your data traffic if the phone systems and software are installed correctly. This reduces your expenditure further, as you then don’t have to use the traditional ways of transferring data to your offices in the confidential network.

Home Workers

IP Phone systems are very advantageous to broadcast working from home, as it is simple and extremely economical. A home working employee can be easily connected to the office through its confidential network. He can connect the office phone system to his high speed internet connection, like DSL or cable internet. The employee will have to take the phone instrument from the office and then connect it to the Internet. He can alternatively use a soft phone, which is software on the computer that makes it function like a telephone. This is especially excellent if you want to redirect your office calls to your residence.

Travelling Worker

When you are travelling, all you need is a quick internet connection and soft phone software on your computer and voila! You have a portable and inexpensive phone. If you are travelling for a long time, you can go your complete hardware, which makes use of IP Telephony combined with VoIP technology, using the Internet and no one even needs to know that you are not at your office.

Upgrades

Software upgrades are very simple and can be done by you. This saves the cost of paying the service provider to do this.

This is just a brief overview of the benefits of installing the IP Phone System in your office, but with a bit of luck it is enough to have stirred your interest. If you are looking for an IP Phone System provider, you should consider Constant Contact. Please check out their website at www.constantcontact.net.au.

Hotel Phone Systems

What do I need when buying a Motel Phone System?

In today’s competitive business background, your success depends on first class service. You need an effective communication solution that enhances the efficiency of your operations and improves the level of customer service you provide your guests.

Of all the equipment that you operate at your Motel, nothing is more vital than your phone system & service. It is therefore very vital that you choose your Hospitality PABX Phone System carefully. Both Alcatel and Samsung offer a range of advanced hospitality solution PABX Telephone Systems suitable for Hotels, Hospitals, Nursing Homes or Halls of Residence. Review these systems and download product brochures at http://www.telaustralia.com.au

PABX stands for Confidential Automated Branch Chat. The older PBX Phone System models were manually operated and usually required an operator. Modern PABX systems now use software to do the work of the operator.

Getting a price for a Phone Systems is simple. But will it really have the functions and features you require. To get an accurate price estimate you need to carefully plot your current & possibility network and determine the required PABX functions and features you need. Review systems functions and request a quotation at http://www.telaustralia.com.au/phone_systems/hotel_and_motel_phone_systems

The first thing you need to plot out is how many lines you have in, are the lines PSTN (ordinary analogue or POTS Plain Ancient telephone Service) or ISDN & how many handsets do you need. If your lines are ISDN lines do you have ISDN 2 or ISDN 102030 On Ramp? Do you have an Indial Number range? This is all vital when requesting a quotation for a PABX Telephone System. If Starting afresh we recommend you have ISDN 2 or ISDN 10/20/30 Installed. Review your options at http://www.telaustralia.com.au/fixed_line/new_business_phones

Then reckon about growth. Will you need more lines coming in and are you likely to require additional handsets? Providing this information when getting a quotation will allow your supplier to provide an appropriate sized PABX System that will have adequate Space and cards for your possibility needs.

Will you require any of the following Voice Features:-

Voice Mail
Auto Attendant – press 1 for front desk, 2 for restaurant, 3 for housekeeping etc.
Music or message on hold?
What level of Handset do you require? Most Hotels have 1- 4 privileged end digital handsets at the front desk.

Will you require Digital Show handsets for the rooms or will non-show models suffice. Most hotels don’t have show handsets in the rooms.

Then you need to reckon about the functions and features you will need from your PABX.  Current models from Alcatel and Samsung allow the operator to simply & quickly perform many of the following features :

Book & Check In Rooms & Determine Room Status
Fax & Email Confirmation letters
Automatic Invoicing eliminating manual accounting
Take & Store Guest details & preferences for frequent visitors
Guest Database/Contact Management
Distribute Calls to Housekeeping, Room Service & Front Desk
Guest Messaging Services
Direct In Dial Calls to rooms
Room Call Accounting with customisable call tariffs
Phone Restrictions while guest is out of room
Security features

Many of the larger PABX Manufacturers have models that have a wide range of integrated functions that can help in the day to day running of a motel without the need for a PC. These functions are operated directly from the front desk phone handset. This system will usually suffice for a motel/hotel up to around 20 rooms.

Of course if you are running a larger Motel/Hotel with 20 plus rooms and you require the full range of Management & Guest Functions then the PABX Phone System Software provided can be integrated with your PC network.

If you are starting out from scratch you will need to orchestrate your phones lines. We suggest mid size hotels go with an ISDN Phone services. ISDN lines provide for crisper voice quality and allow for Indial Number Ranges.  Commonly usual line ratios for a Motel/Hotel are 1:5 not including front desk and management requirements.

This means with 1 X ISDN 2 for every 10 Rooms and a manifold of an ISDN 10/20/30 once you go over 50 rooms. Of course if you reckon your treatment will be low it can be cheaper to go with a privileged ratio and then add lines in later if treatment patterns & line availability dictate more lines.

Another line option to consider is an In Dial Number range or Direct In dial Range. Direct In dial provides more numbers than lines and means that a caller can call directly to the room with out the intervention of a Receptionist or Operator.

If you need advice there are a number of Phone companies in Australia that specialise in providing advice on Hospitality Phone Lines & Hotel PABX Phone Systems. Telaustralias contact number is 1300 783 528.
